Every concern recorded. Every child followed up.

Safeguarding concerns, pupil wellbeing profiles and staff training sit in the platform you already run your school on, and only the people who need them can see them.

A concern, from first note to closed

Every concern moves through the same steps, and every step is recorded.

  1. Draft

A member of staff starts a concern and can finish it later. Nobody else sees it yet.

  2. Submitted

The safeguarding team is notified. Critical concerns reach the leads straight away.

  3. Triaged

A lead sets the urgency and assigns the concern to a team member.

  4. Under investigation

Case notes, files and referrals build up on the concern's timeline.

  5. Action taken

What was done is recorded against the concern itself.

  6. Monitoring

Reminders come before each review date, and the team is alerted if one is missed.

  7. Closed

A concern can't close without an outcome and a summary. It can be reopened if needed.

Recording a concern

Staff write down what they saw, when and where it happened, who was involved and how urgent it is.

  • Eleven categories to start with, from neglect and online safety to radicalisation and self-harm, plus any your school adds.
  • Four levels of urgency, from low to critical.
  • Photos, PDFs and documents attached, up to 10 MB each.
  • Related concerns linked, so a pattern is easy to see.

Working the case

Everything about a concern stays on one timeline.

  • Case notes can't be edited or deleted once saved.
  • Mention a colleague in a note to bring them in.
  • Referrals to children's services, the police, health services or a multi-agency hub (the MASH in England), with reference numbers and outcomes.
  • Leads can export a pupil's full record as a confidential PDF, CSV or JSON file, in any of 11 languages.

Who sees what

Access follows your safeguarding team, not job titles.

  • Safeguarding team member

    Assigned cases

Concerns assigned to them, and ones not yet assigned

  • The person who raised it

    Own drafts

Their own drafts, then a notice when it's triaged and when it's closed

  • Teachers

A summary, only if a lead shares it. Never notes or evidence.

Behind every record

  • Every time a concern is opened, it's logged.

  • Concern details are encrypted.

  • Records are flagged for a retention review seven years after a pupil leaves.

  • AI assistants connected to your school's data never see safeguarding or wellbeing records.

A wellbeing profile for every pupil

What staff need to know to look after a child, in one place.

Parents ask for changes, and nothing changes until staff approve it. Medical and SEN details are encrypted.

Wellbeing profile

  • Medical needs, medication and allergies
  • Special educational needs, including support plans (EHCPs in England)
  • Dietary requirements
  • Religious and cultural needs
  • Emergency contacts in call order, and who may collect the child
  • Risk indicators such as child protection or looked-after status, for permitted staff onlyPermitted staff

Spotting who needs help

Reports that point you to the pupils worth a closer look.

  • Chronic absence

Pupils whose attendance falls below the level you set.

    On every plan

  • At-risk pupils

Pupils whose attendance and grades are both slipping.

    Depends on your plan

  • Behaviour points

Merits and demerits, badges, and a weekly summary for parents.

Staff training, never quietly out of date

Track safeguarding and health and safety training for every member of staff, and see what's due before it expires.

  • A record for each course: when it was done, when it expires, who ran it, and the certificate.
  • Staff upload certificates for courses taken elsewhere, and a manager approves them.
  • Reminders before training expires, and deadlines for new joiners.
  • Training sessions with places, a waiting list and attendance.
  • A training register you can export for an inspection.
  • Schools in England: staff confirm they've read the current KCSIE Part One.
