Safeguarding and wellbeing are not extras

Most of what a school pays us for makes its work faster: a timetable that catches clashes before they reach a classroom, fee reminders that send themselves, reports that used to take an afternoon. Some of it we sell as add-ons, because not every school needs it and the schools that do can decide it is worth the money.

Safeguarding and student wellbeing are not on that list. Every school on Tawaasal gets both, in full, on every subscription, at no extra cost. There is no tier that unlocks them and no add-on to buy.

Why these two

A school that cannot afford a safeguarding module still has children who need protecting. If recording a concern properly, or knowing which child has a severe allergy, depended on an upgrade, some schools would go without. The children in those schools would not have chosen that, and they are the ones it would fall on.

So we made the decision once, at the level of the product rather than the price list: the tools a school uses to keep children safe and cared for come with Tawaasal itself.

What safeguarding includes

Any member of staff can record a concern straight from a student's profile: what kind of concern it is, how urgent (low, medium, high or critical), what they saw or were told, and when and where it happened. If they are interrupted, the form saves as a private draft that no one else can see until it is sent.

From there the concern belongs to the safeguarding team. The safeguarding lead is notified the moment it arrives, and a concern marked critical alerts every lead at once. It moves through a clear workflow, from submitted and triaged through investigation, action taken and monitoring to closed, and it can be reopened if something new comes to light.

Along the way the team can:

  • keep case notes that cannot be edited or deleted once written, so the record stays complete and trustworthy
  • attach supporting documents
  • record external referrals to children's services, the police, health services or other agencies, with reference numbers and the status of each one
  • link concerns that relate to the same student or incident
  • export a student's full record, as a PDF in English or Arabic, when a report is needed

Access follows the safeguarding role, not seniority. The safeguarding lead sees every concern, and team members see the ones assigned to them and those not yet picked up. Being a school admin does not open anyone's concern. When the team decides someone else needs to know, it can share a summary, never the case notes or the evidence. The most sensitive parts of every record, from what happened to who was involved, are encrypted where they are stored, and actions on a concern are written to an audit trail.

What wellbeing includes

Every student has a wellbeing profile that gathers what staff need to know to look after them:

  • Dietary requirements and food allergies
  • Medical information: conditions, medications, allergies to medicines, and whether there is a care plan
  • Religious and cultural considerations the school should accommodate
  • Special educational needs: SEN status and the support in place

When a student has significant medical information on file, an alert sits at the top of their profile, so no one opens it without seeing it. Authorised staff can also record risk indicators (looked-after child, child in need, child protection) which guardians never see, and, where it is right for a particular child, stop guardians from seeing that child's wellbeing information at all.

Each student can have several emergency contacts, in the order the school should call them, including who is allowed to collect them.

Guardians can see their child's wellbeing information and ask for it to be updated when something changes: a new allergy, a different medication. Nothing changes on their say-so alone. Each request lands in a queue for staff to approve or reject, and a rejection comes with a reason.

Both work in the Tawaasal mobile app as well as on the web, so a teacher can record a concern from a phone and a parent can check what the school holds without a computer.
